How do you connect your business number to an AI voice agent?
There are three practical options: a dedicated new number for the agent, forwarding your current number to the agent fully or during set hours, or connecting through your existing telecom provider or PBX. In most cases you do not change your business number and do not replace your system — forwarding is a configuration at your provider.
What are the options?
| Option | When it fits | What you need |
|---|---|---|
| A new number for the agent | A first trial or a campaign separate from your main line | Nothing from your current system; publish the number where needed |
| Forwarding your current number | You want customers to keep using the number they know | Permission to change forwarding settings at your provider |
| Connecting through your PBX/provider | You run an enterprise phone system with call distribution | Details of the current setup and a technical owner to apply it |
A new number for the agent
- When it fits:
- A first trial or a campaign separate from your main line
- What you need:
- Nothing from your current system; publish the number where needed
Forwarding your current number
- When it fits:
- You want customers to keep using the number they know
- What you need:
- Permission to change forwarding settings at your provider
Connecting through your PBX/provider
- When it fits:
- You run an enterprise phone system with call distribution
- What you need:
- Details of the current setup and a technical owner to apply it
The choice is operational more than technical: where do you want your customers' calls to start?
The steps, in order
- 1
Decide which calls
All calls, only outside hours, or only when the team is busy.
- 2
Choose the number option
A new number, forwarding, or a provider-level connection.
- 3
Set the answering flow
Approved information, conversation style, and handover cases.
- 4
Test internally
Test calls from your own team before any real customer is routed.
- 5
Enable forwarding
Apply the forwarding configuration at your provider for the chosen option.
- 6
Watch the first week
Review call summaries and adjust answers or handover rules as needed.
What we need from you
- Your current number and how calls reach you today.
- Working hours and known peak periods.
- The information the agent should answer from, and its approved source.
- The cases that must go to a person, and to whom.
- Who can change telephony settings on your side.
What changes and what stays the same
Stays the same
The business number your customers know and how they reach you.
Stays the same
Your team's role on sensitive cases and decisions, with clearer call context.
Changes
Repeat calls are answered immediately instead of waiting in a queue.
Changes
Every call arrives with a summary and details instead of manual notes.
How does handover to a person work?
Handover is set as a clear rule rather than an in-the-moment judgement: the request type, an explicit request to speak with a person, or repeated misunderstanding. The conversation context is passed along so the caller does not start over. If nobody is available, the agent captures the caller's details and reason for calling for follow-up.
Common mistakes to avoid
- Forwarding every call on day one without internal testing.
- No internal owner for reviewing call summaries.
- Outdated information, so the agent answers with an old policy.
- Undefined handover cases, so sensitive calls take the wrong path.
- Judging results after two days instead of a fair run.
